Find Duplicate Entries in Excel

Working with large spreadsheets with lots of data can sometimes result in duplicate entries and this can ruin all your statistical calculations. Fixing it manually will consume a lot of your time and effort. So what do you do?

Fortunately, as always, Excel has a great solution for this problem. It combines 2 properties to produce results.

a) Searching for duplicate entries b) Highlighting those entries for quick recognition.

I tried it myself and was so impressed that I couldn’t resist bookmarking it for later.

Here are step by step instructions for better understanding.

Step 1) The process works on a column-by-column basis, so focus on one column at a time. Let’s take column “A” for example. The same can be repeated throughout the worksheet.

Step 2) If you have a list of data in column “A”, select the first cell. This cell contains a condition to search for duplicates in the file. With the cell selected, go to the menu bar and choose Format > Conditional Formatting. This will open a new dialog window.

Step 3) In this new window, select “Formula is”. A text box will appear asking you to enter a formula. Enter this formula into the text box:

=COUNTIF(A:A, A1) >1 (remove spaces if present) The “COUNTIF” function searches the column “A” and finds all duplicate entries in the column.

Step 4) Now click on the “Format” button in the “Conditional Formatting” dialog box. This will expand the window and give you some formatting options. From the “Patterns” submenu, select a color to highlight duplicate entries. Click “OK”.

Step 5) Copy the cell containing the condition (A1). Press “Ctrl + Spacebar” to select an entire column. From the “Edit” menu, click “Paste Special.” In the dialog box, select “Formats” and then click “OK” to copy the conditional formatting to the entire column. This should highlight any duplicate entries in the column.

Step 6) Once all the entries are found, you can decide to keep them, delete them, or just cut and paste them to another job in case you need them later. 🙂

Step 7) If you need to perform the same function in another column, the process remains the same, just replace all “A” in the formula with the alphabet of the column.
