Top Ten Excel Tips For Beginners

There are many tips for Excel. This article is for beginners and includes tips that I use in the classes I teach at local schools.

1. 80% of the most used functions, for beginners, in Excel can be done using two toolbars. Toolbars are icons located below the menus and are in text format (File, Edit, etc.). You should see the Standard and Format toolbars on your screen. To make sure they are there, go to the View menu and select Toolbars. There should be a check mark next to the standard and format. If one of these does not have a check mark, highlight the menu option with the left mouse button. A toolbar is displayed.

2. You can use Control (Ctrl) keys to perform many functions. For example, hold down the Ctrl key and press the S key and the file will be saved. Ctrl + P prints the document. Ctrl + B makes the text or number bold. There are many more. Click the link at the end of this article to see the full list and download your free copy.

3. You don’t need to use the mouse to move to a specific cell. You can use arrow keys (left, up, down, right)or the PgUp and PgDn keys. Enter moves down one cell and Tab moves to the next cell to the right. Holding down the Ctrl key and pressing the home key moves to the first cell. Ctrl and End key move to the last cell.

4. Excel can see what you entered and follow the sequence. For example, if you entered the word Monday, you can use the technique to make the next cell appear on Tuesday, and so on. For example, suppose you enter Monday. Go back to the cell containing Monday and you will notice at the bottom right of the cell that there is a small square. This is called a handle. Carefully move the mouse cursor over the small square. The cursor changes to a + sign. Click the left mouse button down and continue to move the mouse down while holding the button down (or right). Move down or right seven spaces by holding down the left mouse button. (A cell is the intersection of a row and a column.) Release the mouse button and the seven days of the week are displayed. It works for time, numbers, months, calendar, quarters and more.

5. All formulas and functions start with an equal sign. For example, to add 1 and 2, the formula would be =1+2.

6. If you want to merge column or row. Enter the items you want to add and highlight the items you want to add plus one blank cell. For example, say you had numbers in cells A1 through A5. Highlight A1 to A6. The Format toolbar has the Greek symbol ∑ . Click on this symbol and the sum of the numbers will appear in the empty cell you highlighted.

7. If you had a number that you want to display as a percentage, highlight the cell and the Format toolbar will have a percent sign (%). Click on this symbol and the number in the cell will be displayed as a percentage.

8. Say you had a large spreadsheet and wanted to go directly to cell J5. You can press the F5 key at the top of the keyboard. Type J5 and press Enter. The cursor will automatically move to cell J5.

9. If you are not sure which function to use in Excel, highlight the cell(s) and click the right mouse button. A window will open and the most frequently used functions will be displayed in the menu.

10. To add a row or column, click a letter to add a column or a number to add a row. After clicking on a number or letter, click the right mouse button and select Add from the menu option.
